Reorder Workflows for Repeat Specs

When the same floor goes into job after job, record the full spec once. Then reorder it the same way, so that every site gets a match.

Key takeaways

  • Spec named product lines that you can reorder by name
  • Record color, size, roll width, and pattern match once
  • Compare a sample with the installed floor before a large reorder
  • Use leftovers from the first order for repairs inside that floor
A repeat spec only repeats if you record all of it.

Spec a named product line

A named product line gives specifiers a consistent product to write into a bid and reorder. Our own lines include Nitro for garage tile, ProStep and VersaStep for dance flooring, and Traxxon for rubber rolls. Anonymous commodity flooring can have a different SKU every time you reorder.

Record the full spec once

Record thisWhy it matters
Product name, color, and sizeThe product page shows the lead time when you select a color and a size
Roll widthThe width sets the number of rolls for carpet and sheet vinyl
Pattern match dimensionsA drop match needs one extra pattern repeat on the second roll
Construction and a physical sampleA patterned-carpet installer uses these to estimate the quantity
Underlayment, trim, and toolsOur guides list these as items that buyers often forget

For carpet rolls and sheet vinyl, the width is fixed, but the length is a custom cut. Record the room lengths too, because the extra material for a pattern match goes into the length.

Reordering a spec from a past job?

Send the product names and quantities from the last job. We will quote the same package.

Compare a sample before a large reorder

A picture can look different from the real product. Hold a sample next to the installed floor before a large reorder. Look at the color and the texture. Make sure that the floor fits under the doors and the trim. Ask the same questions as for the first order: does it feel comfortable, and is it easy to clean?

Manufacturers make flooring like hardwood in runs, and two batches can differ slightly in color. A reorder can come from a different run than the first order. For a repair inside an existing floor, use leftover material from the first order.

Reorder the whole package

Underlayment, trim, and installation tools are easy to miss on a fast reorder. Put them on the same line list as the floor. Hard surface flooring often has matching trim, so record the trim name with the floor. Then the crew has every part when the material arrives.
